Run Expense Reports
Expense reports show where money went, how budgets are tracking, and which advances are still outstanding.
Open the reports hub
Go to Expenses → Expense Reports. From there you can open:
| Report | Shows |
|---|---|
| Expense Summary | Spend for a date range |
| Budget vs. Actual | Utilization and variance by budget |
| Outstanding Advances | Advances not yet fully settled |
| Advance Balances | Per-employee unsettled amounts |
The Budgets screen also shows period status and variance. Use Outstanding Balances under Advances when you only need employee totals.
What else you can analyze
Depending on your role and how your company uses the Expense APIs and exports, you may also pull:
- Spend by category and by department
- Trend over time
- Tax summary for expense claims
- Pending approvals and approval turnaround
- Recurring schedule of upcoming generated expenses
- Budget variance detail
List and analytics exports can download as files. Larger bulk exports may run in the background — wait for the job to finish, then download the file.
Tips for useful reports
- Pick a date range that matches how you close the books (month, quarter, or fiscal period).
- Filter by status when you only want Approved or Paid spend — drafts and rejected claims can inflate totals.
- Compare budget vs. actual mid-period so managers can adjust before a hard block on submit.
