HRMS Permissions and Troubleshooting
If an HRMS menu is missing or an action is blocked, it is usually licensing, the user’s HR role, or a missing Linked User for Self Service. Your administrator manages modules and roles under Settings → Users & roles.
Roles, in plain language
| Role | Typical use |
|---|---|
| HR Manager | Full HR; often payroll process/approve/reports when Payroll is licensed |
| People Manager | Team leave and attendance approval, plus ESS |
| HR User | Day-to-day employee and attendance operations |
| Employee Self Service | Staff portal access only |
Permissions, in plain language
| Area | Examples of what it unlocks |
|---|---|
| Employees | View, create, edit, delete |
| Organization | Manage departments, designations, shifts |
| Attendance | View, mark daily, approve corrections |
| Leave | Apply, approve, manage policies and balances |
| Holidays | Manage holidays and weekends |
| Lifecycle | Onboarding, probation, separation |
| Performance | Manage cycles, submit and view appraisals |
| Assets | Assign and track employee assets |
| Credentials | Operational certifications for labour roles |
| Reports | HR reports |
| Payroll | View and process pay (Payroll module) — see Payroll overview |
| Self Service | Profile, leave, attendance (ESS module) |
Exact permission names may vary slightly in your tenant; ask your administrator which template matches your job.
Common issues
| Symptom | Likely cause | What to do |
|---|---|---|
| No HRMS menu | HR Management not licensed, or no company portal access | Enable HR Management; sign in with company access |
| Leave balance zero for new hire | Policies inactive or balances not initialized | Activate policies; run Initialize balances for the year |
| Leave request blocked by the system | Policy validation failed | Check balance, min/max days, advance notice, and documentation messages on the form |
| Cannot approve leave | Missing approve permission, or request not pending | Grant approve leave (or ESS team approval); confirm status is pending |
| Need to fix a leave balance | Manual adjust required | Open Leave Balances, adjust with a reason; needs balance management permission |
| ESS not working / “not linked” | No ESS license or no Linked User | License ESS; set Linked User on the employee |
| No payslips in Self Service | Payroll not licensed or not linked | License Payroll and ESS; link the user; open My Payslips |
| Org chart empty or incomplete | Missing managers on employees | Set reporting manager on each employee |
| Weekly schedules not in HRMS | Expected — Labour Scheduling is separate | Use Labour Scheduling for weekly schedules and swaps; HRMS Shifts are defaults only |
Frequently asked questions
Where is payroll processing? In the Payroll module (requires HRMS). Start with Payroll overview.
Where do I assign company assets? Employee profile → Assets tab — not a separate sidebar menu.
Where do I record forklift or food-handler licenses? Employee profile → Credentials tab. Use the same credential code as on the Labour Scheduling position when that cert is required.
Where is the org chart? HRMS → Org Chart, or the Org tab on an employee profile.
How do performance reviews work? HRMS → Performance — create a cycle, open it, generate appraisals, managers rate, employee acknowledges, then close the cycle. See Manage employee lifecycle.
Can employees see payslips in Self Service? Yes, under Self Service → My Payslips when ESS and Payroll are both licensed and the account is linked to an employee.
