Manage Leave

Leave in HRMS is policy-driven: entitlements, accrual, and validation rules apply when someone requests time off. HR configures policies; employees or HR create requests; approvers decide; balances update.

Leave policies

  1. Go to HRMS → Leave Policies.
  2. Define each leave type: annual entitlement, monthly accrual, paid/unpaid, carry-forward, min/max days, advance notice, and whether documentation is required.
  3. Use Initialize balances to roll entitlements to employees for a year.
  4. Use Run Monthly Accrual to credit policies that accrue monthly.

New hires may get balances initialized automatically when policies are active — if a new employee shows zero, re-check policies and initialize for the year.

Leave requests

  1. Go to HRMS → Leave Requests.
  2. Create a request: leave type, from/to dates, half-day if applicable, reason, and attachment when required.
  3. Biznsbook validates against the active policy (balance, min/max days, advance notice, documentation).
  4. The approver approves or rejects from the list or detail page.
  5. Approved leave appears on the Leave calendar and reduces the balance.

The default list usually shows pending requests first, with filter tabs for other statuses (approved, rejected, cancelled, partially approved).

:::warning Manual balance adjust Adjust only when you have a documented reason (correction, special grant, or migration). Every adjust should leave an audit trail via the reason field. :::

Automation (optional)

When Business Automation is licensed, leave requested or approved events can trigger workflows (for example notify a manager). Configure those outside HRMS under Automation.
