Set Up Organization Structure
Organization structure in HRMS is the combination of departments, designations, shifts, and the reporting manager on each employee. Get these lists right before bulk hiring so every new record picks consistent values.
Departments
Open HRMS → Departments.
For each department, set:
- Code and name
- Optional parent department for hierarchy
- Optional department head
- Active or inactive
Inactive departments stay in history but should not be used for new hires.
Designations
Open HRMS → Designations.
Add job titles with an optional grade or level. Designations are company-wide labels — assign the matching one on each employee’s employment details.
Shifts
Open HRMS → Shifts.
Configure:
- Start and end time, and break length
- Minimum hours that count as half day or full day
- Grace minutes for late arrival
- Night shift flag when the shift crosses midnight
- A company default shift when most staff share the same pattern
Assign the shift on the employee record so daily attendance and leave calculations know the expected work window.

Assign on the employee
After lists exist:
- Open the employee under HRMS → Employees.
- Set department, designation, manager, and shift.
- Save — the Org Chart updates from manager assignments.
