Track Employee Assets and Credentials
Assets and credentials live on the employee profile — there is no separate Assets or Credentials menu. Use them for accountability and for labour role qualification checks.
Employee assets
Open the employee under HRMS → Employees, then the Assets tab.
| Action | When to use it |
|---|---|
| Assign | Issue a laptop, phone, access card, or similar (tag, name, category, date) |
| Mark returned | Equipment is back with the company |
| Mark lost | Item cannot be recovered |
This tracks who has what. It is not fixed-asset accounting — capital registers live under Finance / Accounting when those modules are used.
Exit clearance
When a resignation is Accepted, assigned assets are added to the exit clearance checklist automatically. Complete return or lost steps before marking the employee relieved — see Manage employee lifecycle.
Employee credentials
Open the employee’s Credentials tab.
- Add a credential code (stable id such as a license type code), display name, and issue / expiry dates.
- Deactivate when the cert is no longer valid.
These are operational certifications (forklift, food handler, and similar) — not the education history under qualifications.
Labour Scheduling
When Labour Scheduling positions require a matching credential code, staff without a valid (active, non-expired) credential show a qualification missing conflict on the schedule. Use the same code on the employee credential and on the position requirement.
:::info Documents vs. credentials Store scanned certificates in the profile Documents vault when the Documents module is licensed. The Credentials tab is the structured code and expiry Labour Scheduling checks against. :::
