Use Employee Self Service
Employee Self Service (ESS) is a separate license on top of HRMS. When it is enabled and the employee has a Linked User, a Self Service menu appears in the sidebar so staff can handle common requests without an HR ticket for every change.
Requirements
| Requirement | Why |
|---|---|
| HR Management licensed | Base employee and leave data |
| Employee Self Service licensed | Shows the Self Service menu |
| Linked User on the employee record | Connects the login to the HR profile |
| Payroll (optional) | My Payslips |
| Documents (optional) | My Documents |
If the login is not linked, the portal shows a clear message to contact HR. HR sets Linked User on the employee under Manage employees.
Self Service screens
| Screen | Use |
|---|---|
| My Profile | View profile, leave balances, recent requests, contact summary |
| Edit Profile | Update contact, address, and emergency contact |
| My Leave | Leave history, balances, apply leave; managers see Team Approvals for direct reports |
| My Attendance | Month attendance calendar |
| Apply Leave | Self-service leave application with the same policy validation as HR |
| My Payslips | Own payslips when Payroll is licensed — see Payroll overview |
| My Documents | Documents linked to the employee when Documents is licensed |
Managers approve pending leave from direct reports in the Team Approvals section on My Leave when they have the right ESS / approve leave access.
What ESS does not replace
HR still owns policies, bulk balance initialize, org structure, and lifecycle (onboarding, probation, resignation). Payroll processing stays in the Payroll module. ESS is for day-to-day employee and manager actions on their own or team records.
