Recording a GRN (Goods Received Note)

A GRN records that goods have physically arrived from a supplier — it's the step that increases your stock on hand.

Before you start

You'll need:

  • A supplier set up under Setup → Parties
  • At least one product to receive
  • A warehouse to receive into (if you use Warehouse Management)

Step by step

  1. Go to Purchasing → Good Receive Note → Create.
  2. Fill in the header: date, supplier, warehouse, and any reference numbers.
  3. Add line items — product, quantity, and cost.
  4. If the product tracks batches or expiry, enter the batch/expiry details on that line.
  5. If the product is serial-tracked, scan or type one serial number per unit — Biznsbook won't let you post without them.
  6. If your company uses quality checks, record accepted vs. rejected quantity before posting.
  7. Click Post. This is the moment stock increases — a draft GRN has no effect on stock or accounting.

Turning a GRN into a supplier bill

Once posted, you can create a purchase invoice directly from the GRN for the quantities not yet billed — this avoids double-counting stock, since the GRN already increased it.

Common issues

"I posted the GRN but stock didn't move." Check that you posted (not just saved as draft), and that you're looking at the correct warehouse.

"It won't let me post without a batch number." The product has track expiry enabled — this is a setting on the product itself, under Products → Edit → Expiry section.

"It won't let me post without serial numbers." The product has serial tracking enabled. Every unit needs its own serial number captured at receipt — this is what powers warranty lookup later.
