POS Permissions and Troubleshooting
If a menu is missing or an action is blocked, it's almost always one of two things: the module isn't enabled, or the user's role doesn't have the right permission. Your administrator manages both under Settings → Users & roles.
Permissions, in plain language
| Permission | What it unlocks |
|---|---|
| View payments | POS checkout view, Z-reports, voucher lists, and the terminal menu link |
| Create payments | Opening sessions, completing sales, closing sessions, creating vouchers, back-office checkout |
The POS Terminal menu link also shows for users with View sales access, but actually trading at the till still needs Create payments.
Common issues
| Symptom | Likely cause | What to do |
|---|---|---|
| POS Terminal link is missing | POS module not enabled, or missing View sales / View payments | Ask an administrator to enable POS and grant the right permission |
| "Session is closed" when trying to sell | No open cashier session | Open a new session on the terminal |
| Stock insufficient at checkout | Quantity or warehouse rules blocked the sale | Check the item's stock in Inventory |
| Can't find a sale in finance | Looking in the wrong place | Every POS sale creates a sale bill with an INV-* number — check the Sales list, or the journal viewer under Accounting |
| Unsure whether to use the terminal or POS checkout | Different tools for the same document | The terminal is the full cashier UI with sessions, parked bills, and barcode flow. POS checkout is a back-office form for the same underlying sale — both produce the same INV-* receipt and update stock the same way |
Frequently asked questions
Why do two receipt screens exist? The checkout receipt is tied to the register and fiscal workflow, but the invoice number always matches the sale bill you'll find in Sales.
Can I use CRV/CPV without a till? Yes — as long as POS is licensed, cash and cheque vouchers live under Payments, not the Finance & Accounting menu, even for general finance work unrelated to till sales. See Record payment vouchers for how they work.
