Use the Listings Portal and Online Applications

The listings portal is a public rental marketplace. Property managers publish vacant units from Biznsbook; prospective tenants browse and apply online without an ERP account. Applicants are a separate identity — not ERP users, owners, or existing tenants.

Publish unit → Activate listing → Applicant browses & applies
→ Review in Applications → Approve → Convert to lease

Publish a listing

  1. Open Real Estate → Units and open the unit (or Unit Availability → Publish Listing).
  2. Click Publish to listings portal. If a listing already exists, the button reads Manage listing.
  3. Enter title, rent amount, rent frequency, available-from date, and description. Optionally set minimum lease duration, max occupants, pet policy, and furnishing.
  4. Add amenities as comma-separated tags (Pool, Gym, Parking, and so on). Upload photos on the Edit listing screen — drag to reorder; use the trash icon to remove.
  5. Listings start as Draft. Click Activate to go live on the public site.

On activate, expiry is set to 90 days. A daily job marks past-expiry Active listings as Expired; re-activate if the unit is still available. Each listing tracks a view count.

Listing lifecycle: Draft → Active → Paused / Withdrawn / Expired (and Active → Taken when an application converts to a lease).

How applicants apply

  1. Browse the public listings website — no account needed. Search and filter by rent, bedrooms, pets, furnishing, and move-in date.
  2. Open a unit detail page (gallery, amenities, occupancy limits) and click Apply now.
  3. Create a free applicant account or sign in. Email verification is required before submit.
  4. Complete the 3-step application: personal/employment → document upload (national ID, income proof, references; PDF/JPG/PNG, ≤5 MB) → review and submit. Progress auto-saves as a draft.
  5. Track status, manager messages, and documents under My Applications. Applicants are emailed on status changes.

Documents are visible only to the applicant and the reviewing manager — no public download links.

Manage the applications inbox

  1. Open Applications to see inbound applications across listings. Filter by status or by a specific listing.
  2. Click Review for personal info, employment, income, emergency contacts, and uploaded documents.
  3. Message the applicant, or move status to Under Review, Additional Info Requested, Approved, Rejected, or Withdrawn. Applicants receive email on each change.
  4. On an Approved application, click Convert to lease. The lease form opens pre-filled (name, email, unit, rent). Save — the listing is marked Taken.

Application flow (manager transitions are forward-only): Draft → Submitted → Under review → Additional info requested → Approved / Rejected / Withdrawn.

:::warning Keep the inbox moving A weekly job logs Submitted applications with no manager reply after three days. Check regularly so applicants are not left waiting. :::
