Create a Sale Invoice
Saving a sale invoice posts it immediately — revenue, receivables, cost of goods sold, and tax all update on save. There's no separate post step.
Direct invoice (no order)
- Go to Sales → Sale invoices → Create.
- Select the customer — walk-in or cash customers use a party record your administrator has set up for that purpose.
- Set the bill date, payment terms, and currency.
- Add lines: search by OEM or cross-reference. Stock quantity shows when Inventory is on, and warehouse can be set per line for multi-warehouse businesses. For serial-tracked items, select the specific serials before saving.
- Apply an invoice-level discount if needed, then enter payments — cash paid, optional cheque or bank rows, and any customer advance to apply.
- Save — it posts as-is, deducting stock and recording the sale.
Invoice from a sales order
- Click Create Invoice on the order's Details page.
- Biznsbook drafts an invoice for whichever applies:
- Delivered but not yet invoiced quantity, if delivery notes were posted.
- Remaining ordered quantity, if nothing has shipped yet.
- Complete tax, payments, and discounts, then Save to post.
- If stock already left on a delivery note, this invoice posts billing only — no second stock deduction.
- The order moves to Partially Fulfilled or Fulfilled as invoiced quantities catch up.
Manual link: on the order's Details page, search a sale invoice for the same customer, enter an allocated quantity that doesn't exceed the open invoiceable amount, and click Link — fulfilled quantities update the same way as Create Invoice.
Editing and cancelling
Users with Edit sales can open Edit from an invoice's details. Avoid editing invoices in a closed accounting period. To cancel, use Sales → Cancel sale invoice or cancel from details, with a reason — this reverses stock (if it was deducted) and the financial postings. A cancelled invoice can't later be returned.
