Manage Shift Swaps and Drops

Employees can ask to swap (trade) or drop (give up) a shift when your company allows it in Settings. Managers finish every change from the Swaps queue.

Employee requests

From My Swaps (account menu):

  1. Request Swap — pick an upcoming shift, optionally offer another shift in return, and optionally name a colleague (or leave it open).
  2. Request Drop — give up a shift without offering a trade.
  3. Accept — if someone named you as the swap target, accept here first.

Swaps need colleague acceptance (when targeted) and manager approval. Drops go straight to the manager. Accepting as the target is not the final step.

If Employee swap requests is off in Settings, these actions are unavailable.

Manager approval

  1. Go to Labour Scheduling → Swaps.
  2. Review pending or target-approved requests.
  3. Approve or Reject.
  4. On approval, shift reassignment happens automatically.

If a request sits unactioned for about 24 hours, managers get an escalation alert (Automation delay; cancelled if you approve or reject first). See Automation tips for admins.

Notifications and audit

Staff get swap outcome notices when approved or rejected. Every request keeps an audit trail of who asked, who approved, and when. Missing email addresses never block the underlying action — in-app notice still works.
