Respond to an FDA Records Request
When FDA asks for Food Traceability records, produce the Electronic Sortable Spreadsheet (ESS). You have a quick download and a queued portal designed around the 24-hour response window.
Inline export (quick)
- From the Traceability menu, open FDA ESS Export.
- Choose a date range (defaults to the last 30 days; up to 2 years).
- The ESS CSV downloads immediately.
24-Hour Response Portal (queued)
- Open FDA Export Portal.
- Enter the date range and submit. The request is queued and processed in the background (typically within minutes).
- Watch export history for status. When Completed, click Download. Failed exports show Retry, which queues again with the same date range.
The ESS includes TLC, product description, quantity, unit of measure, CTE type, event date/time (UTC), location, from/to-party GLN and name, reference documents, and FDA product code. Only FSMA events are included — SFCR events are excluded.
Records retention
- Traceability records are kept for 24 months.
- A daily retention scan raises an in-app warning when records approach the end of that window — it never deletes records automatically.
- Act on the alert (export or archive outside the system as your policy requires) before records age out.
