Traceability Permissions and Troubleshooting
If a Traceability or SFCR menu is missing, or an export looks empty, it is usually licensing, a permission, or an item flag — not a failed posting. Administrators manage modules and roles under Settings → Users & roles.
Permissions, in plain language
FDA Food Traceability
| Permission | What it unlocks |
|---|---|
| View traceability | Trace Report, CTE timeline, CSV export, FDA ESS, Export Portal, Manual CTE entry |
| Manage traceability plan | Create, edit, and version the written Traceability Plan; farm map upload/download |
SFCR Canada
| Permission | What it unlocks |
|---|---|
| View SFCR reports | SFCR Trace Report, CFIA ESS, CFIA Export Portal, Manual CTE entry |
| Manage SFCR plan | Create, edit, and version the Preventive Control Plan; PCP document upload/download |
Company Admins receive these when the matching module is licensed. Assign them to compliance staff as needed.
Common issues
| Symptom | Likely cause | What to do |
|---|---|---|
| Traceability menu missing | FSMA Traceability not licensed, or no View permission | Confirm the module and View traceability (or Company Admin) |
| SFCR menu missing | SFCR Canada not licensed, or no View SFCR reports | Confirm the module and View SFCR reports |
| No CTE after receiving | Item not flagged FTL / SFCR-covered, or GRN line has no batch | Flag the item and enter a batch number on the GRN |
| Where does the lot code come from? | Supplier TLC empty on receipt | Supplier TLC is used when provided; otherwise an internal TLC is allocated and propagated on transfers |
| Need harvesting or cooling on the chain | Farm-side step not part of GRN/sale | Use Manual CTE Entry and pick Harvesting, Cooling, or Initial Packing |
| SFCR rows in an FDA ESS (or the reverse) | Looking for cross-framework data | Frameworks are isolated — each ESS only includes its own events |
| Item is both FTL and SFCR | Expected dual coverage | One receipt writes one FSMA CTE and one SFCR CTE, each tagged separately |
| Toast sale on outbound trace but not in ESS | Toast import is report-only | Toast does not write Shipping CTEs; those rows stay off the FDA ESS |
| Retention warning | Records approaching 24 months | Export/archive as needed — Biznsbook does not auto-delete |
| Recall link on Trace Report | Batch linked to a recall case | Open the case in Inventory — see Track expiry, batches, and recalls |
Getting help
Contact your Biznsbook administrator for licensing and permissions. For scope, FTL classification, CFIA licensing, or filing obligations, consult your food safety / compliance adviser. Biznsbook maintains records and exports; it does not provide legal advice.
