Set Up Storage Locations

For warehouses that use structured addresses rather than free-text bin notes, storage locations give you an aisle / shelf / bin system with optional barcodes and capacity limits.

Add a storage location

  1. Go to Inventory Operations → Storage locations and filter by warehouse if you have more than one.
  2. Click Add and enter:
    • Aisle, Shelf, and Bin (required)
    • An optional zone and description
    • Refrigerated or restricted flags, where relevant
    • Max capacity (units), if you want to track how much fits
    • An optional barcode — generate one or enter your own, for scanning and printed labels
  3. Save. Biznsbook builds a readable label, like A-03-02, used throughout the dropdowns.

You can deactivate a location instead of deleting it, keeping its history intact.

Using locations on receipts

When you create a GRN, choose the receiving warehouse, then assign a storage location on lines where your process requires it. Posted batches remember that location for picking and expiry reports.

:::info Receipt batch photos If your administrator has turned on receipt batch photos in Inventory setup (off by default), GRN lines also show a photo control so you can attach an image of each lot as it's received. :::

Suggested locations on transfers

When you create a stock transfer, Biznsbook can suggest destination bins based on your company's placement rules — use the suggestion if your transfer screen shows one.

:::tip Prefer structured locations over free-text bins A free-text "bin location" field still exists on items for legacy reasons, but it won't necessarily match your warehouse map. Structured storage locations are the better long-term choice. :::
