Set Up Warehouses
Create a warehouse
- Go to Inventory Operations → Warehouses and click Add.
- Enter a warehouse code — a short, unique identifier like
WH-01— and a friendly name, like Main Store. - Optionally add an address, city, contact, phone, and email.
- Check Is default if this is your main receiving site — only one warehouse per company can be the default.
- Leave Is active checked. Unchecking it hides the warehouse from new transactions without deleting its history.
- Save.
View stock in a warehouse
- Open Warehouses and click Details on the one you want.
- Review the stock grid: item code, name, bin, quantity on hand, reserved, available, and a stock-level badge.
- The details page also summarizes any in-transit transfers affecting this warehouse.
Use the search box and column sorting for large lists.
Understanding warehouse quantities
| Term | Meaning |
|---|---|
| Quantity on hand | Physical units actually in this warehouse |
| Reserved quantity | Units allocated to pending orders or holds |
| Available quantity | On hand minus reserved — what you can transfer or sell from this site |
A product's company-wide total in Products adds up every warehouse. A transfer changes where stock sits, not how much the company owns in total.
Edit or remove a warehouse
Use Edit to change the name, address, default flag, or active status. Delete only works when a warehouse has zero stock — transfer everything out first, or the system will block the delete.
