Configure and Send via WhatsApp
Start with company settings and Click-to-Chat shares. Add Cloud API only when you need automated template messages.
Configure WhatsApp settings
- Go to Company Admin → WhatsApp Settings.
- Set Default country code (for example
+92) so local numbers normalize correctly. - Leave Provider as Click-to-Chat only if you only need manual shares (no Meta account).
- To automate: choose Cloud API, then paste Phone Number Id, WABA Id, and a long-lived access token from Meta. The verified display number is optional.
- Save and confirm the channel is Active.
:::info Tokens stay hidden Access tokens are never shown again after save — only a “token on file” indicator. Paste carefully; rotate the token in Meta if it is lost. :::
Send an invoice (Click-to-Chat)
- Open a sale invoice (details or print view).
- Click Send via WhatsApp (near Email).
- Biznsbook builds a message (invoice number, amount, and PDF or payment link when available) and opens WhatsApp with the customer’s number filled in.
- Review the text in WhatsApp and tap Send.
- Biznsbook logs the share intent — it cannot know whether you tapped Send on the device.
Purchase screens use the same pattern for supplier notify / purchase invoice shares.
Share a rent or payment link (Real Estate)
- Open the lease, guest stay, or overdue installment that has a payment or rent link.
- Click Send via WhatsApp.
- The pre-filled message includes the hosted pay link.
- Send from WhatsApp on your device.
WhatsApp templates (Cloud API)
- Go to Communication Center → WhatsApp Templates.
- Create a template: name, category (Utility is typical for
invoices and reminders), language, and body with
{{1}},{{2}}variables. - Create the same template in Meta Business Manager (or mark it Pending in Biznsbook while you finish Meta).
- When Meta shows it as approved, use Mark Approved in Biznsbook so Automation can send it.
Use Generate default templates to seed starter utility messages (invoice ready, payment reminder, rent reminder, and similar).
Automate WhatsApp sends
- Connect Cloud API and approve at least one template.
- Open Automation → Workflows and create or edit a workflow.
- Add action Send WhatsApp.
- Choose the template and map the phone field (for example
@Phone). - Map body variables from the trigger fields.
- Activate the workflow.
If WhatsApp settings are inactive or missing, the action logs a skip and does not fail the whole workflow.
Consent and STOP
- Prefer collecting opt-in at checkout, portal signup, or first customer message.
- If a contact replies STOP or UNSUBSCRIBE, Biznsbook marks them opted out and suppresses future Cloud API sends to that number.
- Click-to-Chat (human send) is not blocked by the opt-in ledger — staff remain responsible for appropriate use.
